Supplier Evidence Checklist for Business

A business supplier review should answer whether the proposed provider can deliver the specific work your organisation needs. Company size and a familiar client list can provide context, but neither establishes that the team assigned to your contract has the required capacity or experience.

Connect the evidence to the scope

Start with the deliverables, deadlines and responsibilities in the offer. Ask who will perform the work, where subcontractors are involved and which inputs your own team must provide. Request examples of comparable assignments and, where appropriate, permission to contact a relevant reference.

For recurring services, review how work is scheduled, checked and reported. For physical goods, compare the specification, sample and release process. Keep these forms of evidence separate: a good service reference does not establish that a factory can meet a product specification.

Record the commercial dependencies

Check the supplier's legal identity and the party issuing the invoice. Review the payment schedule, changes to scope, support arrangements and exit obligations. Ask what happens if a key person becomes unavailable or an agreed delivery is delayed.

Summarise the decision in terms of the actual requirement. Record unresolved points with an owner and a deadline rather than treating a large document folder as approval. Carry the accepted scope and conditions into the purchase order so that the delivery team can use the review.
