Record the supplier, production site, certificate type, issuer and scope. Distinguish an expired document from one whose validity has been suspended or whose scope does not cover the order. Check current status through the appropriate issuer or registry where available instead of relying only on a scanned copy.

Assign an owner and a renewal review date early enough to assess replacement evidence. Set the required response if renewal is delayed: this may involve an approval review, additional checks or a purchasing hold according to the relevant requirement. Avoid automatic approval merely because a supplier has promised to send the new document.

Keep the replaced versions and review history. Investigate recurring delays and changes in scope, and communicate the consequences to purchasing and receiving staff. A reminder dashboard is useful only when someone follows up and records the decision.
