Supplier Evidence Checklist for E-Commerce

An e-commerce supplier affects the customer experience long after the product listing has attracted a buyer. The evidence review should cover the exact item, stock availability, fulfilment and after-sales handling. Attractive product photographs cannot establish that the goods received will match the description.

Verify the saleable product

Request the product specification, a representative sample and the identifiers used to distinguish variants. Compare size, materials, colour, packaging and included accessories with the proposed listing. Establish whether photographs show the current version and whether you have permission to use them.

Ask how availability is updated and how discontinued or substituted items are handled. For a fulfilment provider, review picking checks, dispatch cut-offs, tracking and inventory reconciliation. A delivery claim needs a defined service area and conditions, not just a headline number.

Follow the item through a return

Review how damage, wrong items and returns are reported and investigated. Clarify who pays for replacement shipping, how returned stock is classified and when credits are issued. Check the supporting documentation needed for product-specific requirements in the market where you will sell.

Keep the approved sample, listing information and service commitments together. Record evidence gaps before publishing claims to customers. Revisit the review when a supplier changes the product, packaging or fulfilment location, because an earlier sample may no longer represent the goods being sold.
