Supplier Evidence Checklist for Food Production

Evidence for a food-production supplier needs to relate to the food, process and manufacturing site proposed for the order. A facility brochure or a certificate can be part of the review, but neither replaces an agreed specification and an understanding of how the product will be made.

Review the product and process together

Request the formulation or agreed ingredient information, processing steps and relevant product characteristics. Identify allergens, storage conditions and the packaging needed to protect the food. For private-label products, clarify which party approves the formulation and the information printed on the label.

Review evidence of process controls, sanitation and release checks appropriate to the product. Ask how the site prevents unintended mixing or allergen cross-contact and how it records a batch. Check that any certification being presented covers the actual site and activities under consideration.

Check the commercial sample's relevance

Establish whether the sample was made using the intended production method and packaging. Ask what evidence supports the proposed shelf life and whether it applies to the same formulation and storage conditions. A sensory review alone cannot establish product safety or shelf life.

Document responsibilities for approving changes, investigating complaints and tracing affected batches. Bring in qualified food-safety and labelling expertise for the intended market where needed. Keep unresolved technical conditions visible before the production order is approved.
