Supplier Evidence Checklist for Food Sourcing and Contract Manufacturing

To organise the initial site, capability and quotation checks before a food-specific technical assessment, use the prequalification process for a manufacturing supplier.

Choosing a food contract manufacturer involves both the product itself and the arrangement for making it under your brand. The evidence review should distinguish what the manufacturer already produces from what it would need to develop or adapt for your order.

Match capability to the proposed product

Describe the format, ingredients, packaging and market you are considering. Ask which site and line would make the product and request relevant samples or production experience. Check whether a quoted minimum order relates to finished goods, an ingredient purchase or a packaging commitment.

Review the responsibilities for formulation, label approval, testing and product release. Ask how ingredient and packaging changes are authorised. Establish whether the sample represents the intended commercial process and what further development remains before launch.

Clarify ownership and ongoing supply

Record who owns the formulation, artwork, tooling and unused materials. Review lead times for repeat orders and the treatment of materials if demand changes. Ask how the manufacturer handles complaints and shares the batch information needed for investigation.

Compare offers against the same product and responsibility split. Keep food-safety, label and shelf-life questions subject to appropriate technical review. The commercial decision should show which conditions are resolved and which must be completed before production can begin.
