First Order Risk Review for Import Export

The first international order should be reviewed as a sequence of commitments, from deposit to receipt. A production date is only one part of the plan; document preparation, transport booking and clearance can also determine when the buyer obtains usable goods.

Align terms and timing

Match the purchase order to the latest quotation, product specification and payment arrangements. Confirm the delivery term and named place, then assign transport, clearance and insurance responsibilities. Identify approvals needed before production, inspection or dispatch.

Build a document calendar with enough time for review and correction. Confirm who provides the invoice, packing data and any product-specific or origin records. Give the customs representative the facts needed to review classification and destination requirements before the shipment reaches the border.

Prepare for a change in the plan

Review the effect of a delayed departure, document discrepancy or damaged shipment on costs and cash. Clarify how the parties report incidents and who can authorise a revised arrangement. Keep evidence of the goods and their condition at the relevant handovers.

At receipt, reconcile quantities, condition and documentation with the order. Record the actual costs and dates rather than treating the quotation as the final landed cost. Resolve the causes of discrepancies before repeating the transaction at a larger volume.
