An import or export supplier review should connect the goods, commercial terms and shipping documents. An attractive quotation is incomplete if the buyer cannot determine what will be delivered, which costs it will bear or what information will be available for clearance.

Review the offer as a transaction

Confirm the product specification, quantity, currency and payment schedule. If an Incoterms rule is used, record the rule, version and named place. Review transport and clearance responsibilities alongside the contract; the trade term does not by itself settle every payment or ownership question.

Request evidence relevant to production and release of the goods. Establish who supplies the invoice, packing information, origin records and product-specific documents. Review classification and destination requirements with the relevant official sources or advisers where needed.

Check the practical handovers

Ask how the supplier will communicate readiness, booking changes and document corrections. Identify the party responsible for insurance and review what the proposed cover actually addresses. Keep freight estimates and handling assumptions separate from a fixed supplier price.

Record the unresolved conditions before approving the supplier. Bring the accepted specification, delivery responsibilities and document deadlines into the order. Reassess changes to the destination, route or product because an earlier shipment may not represent the next transaction.
